Internal workflow tools

Make responsibility and the next action visible to your team.

A three-item supplier request can be partly ready and still need a decision. Marking the whole enquiry “answered” hides that difference. We can build an internal tool that helps a colleague see the unresolved lines, the proposed reply and the person responsible for moving the request forward.

Separate the requested and proposed quantities

In an invented example, the first line is available as requested, only four of ten units are available on the second, and the third needs specification clarification. Keep the buyer's original quantities intact. A suggested partial supply or substitute belongs in the proposed response until the business records the customer's decision through its agreed process.

The first paid scope might be a line-review workspace and a shared “waiting for a decision” queue. Stock and accounting can remain in the systems that already own them. The tool makes staff assessment visible; it does not create a live availability promise from an unverified catalogue label. If one person can handle the volume reliably with a clearer existing record, a custom application may not yet be justified.

Reopen the request when the facts change

Acceptance uses the three different outcomes, an absent colleague and a late change from packs to individual units. The next owner must see that the earlier proposed reply needs review. An export should retain the reference, quantity, unit, specification context and outstanding decision so a downloaded copy does not tell a different story.

Bring a redacted example of the partial answer your team currently assembles. The notes on partial availability and late corrections explain the cases. We agree permissions, correction history, export and handover around this task; commercial acceptance rules remain your business's decision.
